OPS Administrative Secretary / Camp Helen & Eden Gardens State Parks (Secretary office is at Camp Helen) $10/hr no benefits 28.5 hrs. per week / Monday-Wednesday / 7:30am - 5pm POSITION DESCRIPTION: This position provides secretarial support in a variety of technical and professional areas for Camp Helen and Eden Gardens State Parks. This receptionist/secretary position reports to the Park Manager and will work as a team with office staff, park staff, various seasonal support staff and volunteer support staff. JOB DUTIES: The receptionist/secretary answers and makes telephone calls, operates a personal computer, takes and relays messages, answers questions from public, gives information and directions, handles general complaints and/or diverts matters to appropriate staff. Performs all related work dealing with park administrative operations. Types all correspondence for park staff including reports, forms, budget request, and related items. Compiles and edits the information for reports. Creates digital media copies as requested and assists with maintaining website and staff and public information materials. Assists with property software processing purchasing cards and dealing with invoices pertaining to My Florida Marketplace for office administration and support. Receives incoming mail, screens items, forwards correspondence and communications to supervisor or other park staff with necessary background/support materials. Maintains tracking system to insure correspondence, reports and other work handled and performed in a timely manner. Sets up and maintains all files and records of correspondence, documents, personnel files, reports, maps and other materials relating to the park. Maintains inventory of forms and office supplies. Must be able to operate Point of Sale system and cash register on daily basis. Performs related work as required. Knowledge, skills and abilities, including utilization of equipment, required for the position: Knowledge of standard business formats and styles for letters and business forms. Knowledge of administrative and office procedures. Knowledge of correct spelling, punctuation, and grammar usage. Knowledge of basic arithmetic. Knowledge of basic filing practices. Ability to learn to operate multifunction office equipment. Ability to handle telephone calls in a courteous and professional manner. Ability to work well with and maintain a positive and friendly demeaner while balancing multiple assignments and job functions. Ability to plan, organize and coordinate office assignments in a busy office setting while maintaining a positive demeanor. Knowledge of personal computers, Windows, E-Mail, and Internet. Ability to handle multi-phone lines. Ability to establish and maintain effective working relationships with others. Ability to communicate effectively, both orally and writing. Ability to understand and apply rules and regulations. Skills in typing. Ability to maintain a valid driver’s license and pass background check.
