Title: Office Administrator

Level: Non-supervisory
Job Responsibilities
Administrative Responsibilities:
Manage bookkeeping policies and procedures.
Manage accounts by posting, verifying, and allocating transactions.
Reconcile entries to balance accounts.
Prepare financial reports for monthly board meetings.
Assist in development of budget and monitor variances.
Manage invoicing and donor acknowledgement communications.
Serve as primary contact for charity partners.
Serve as primary contact to answer phones, mail, purchase office supplies, greet visitors, and manage general correspondence.
Maintain electronic and physical administrative files.
Handle mailing and shipping needs.
Support DCWAF staff as directed. Specific responsibilities include receiving wine, purchasing, wine-inventory control, auction lot data entry, auction lot redemption, and managing communication with winning bidders.
Event Support
Assist in software management and data entry.
Serve at the primary recorder during the Live Auction to track all bids
Attend and serve as support staff for DCWAF events – 2 signature weekend-long events (late April and mid-October), monthly board meetings, committee meetings, and other special events.
Qualifications and Job Requirements:
Bachelor’s degree in accounting, finance, or related discipline
Previous administrative and bookkeeping experience
Experience with QuickBooks Online
Working knowledge of GiveSmart preferred
Working knowledge of Microsoft Office applications
Ability to lift 50+ lbs. required
Wine industry knowledge encouraged

Founded in 2005, Destin Charity Wine Auction Foundation (DCWAF) has donated $25 Million to Northwest Florida charities by hosting world class wine and culinary events.
