Summary: Provides general office support with a variety of clerical activities and related tasks. The receptionist will be responsible for answering incoming calls, directing calls to appropriate realtors, mail distribution, flow of correspondence, requisition of supplies as well as additional clerical duties.
Essential duties and responsibilities include the following, as well as other duties as directed by management:
• Requesting and scheduling showings through owners and agents
• Answering phones, taking messages for agents and setting up appointments
• Greeting all prospective buyers and clients
• Provide prospective buyers and clients with information regarding the community
• Preparing flyers and promotional information for approval by licensee and supervising broker
• Updating website information, brochures, flyers, prices sheets and maps
• Having keys made for company listings
• Acting as a courier service to deliver documents and pick up keys
• Answering questions concerning listings from which the answer must be obtained from the printed information and is objective in nature
• Preparing objective, written information (flyers) on a listing or rental
Qualification Requirements:
To perform this job successfully, an individual must be able to perform the above listed essential duties and responsibilities satisfactorily. The requirements listed below are representative of the knowledge, skill, and ability required.
• High school diploma or GED required
• At least two years customer services experience
• Must be able to work Tuesday through Saturday with an occasional Sunday.
• Must possess exceptional interpersonal and customer service skills
• Excellent communication and problem solving skills
• Ability to make reasonable decisions
• Maintain enthusiasm and positive attitude
• Must be able to work as a member of a team
• Proficient computer skills – Word, Excel, Windows, ECAR, Advanced Office Systems, Trueforms, Top Producer, Photoshop, In-Design, Adobe Acrobat.
• Ability to multi-task
• Self motivated
• Detail oriented
Physical Demands: The physical demands described here represent those that must be met by an employee to successfully perform the essential functions of this job.
• Sitting for prolonged periods of time answering phones and working on a computer
• Ability to stand for prolonged periods of time
• Capable of lifting up to 20 lbs
Work Environment: The work environment characteristics described represent those that the employees encounter while performing essential functions.
• Working inside an office with co-workers, guests, home owners, buyers and other Rosemary Beach employees
• Driving a golf cart while touring homes
